Anniversary Series – Part Six : Behind the scenes: The logistical feat that precedes every race weekend

The ADAC MX Masters is acknowledged as Europe´s most popular motocross racing series. With a reputation like that to uphold, detailed planning, professional organisation and a structured implementation are essential. Logistics therefore plays a major role in the eight MX Masters weekends. The ADAC team works closely with the host motocross club and with the ADAC regional club responsible for the venue where the event is due to take place.

It is important for the brand value of the series that the commercial and visual elements are consistent with the ADAC MX Masters image. This aspect of the logistics is handled by the marketing department well in advance of any event. Banners, wigwams, hoardings and other options such as inflatable figures or arches are used to name and highlight the event sponsors. In addition, commercial partners have the opportunity to raise their profile in the form of a stall, sideshow or incentive package.

The ADAC also has overall responsibility for the coordination of the series. This includes the management of team entries as well as the registration (and deregistration) of riders. These processes have to cope with a fluctuating field drawn from around 600 named riders who attend some events but not others.

In order to make the necessary logistical preparations for the MX stars who have entered, the ADAC sends out a ready-to-use database to each motocross club participating in the competition. In addition, the series coordinator prepares extensive information sheets for the track commentator so that he can supply the fans with fascinating details and background facts before, during and after the motos.

The race weekend itself begins on Thursday with the assembly on site of the advertising materials, with the parking of the ADAC truck in a central spot, and with the organisation of the paddock. The task of the paddock coordinator consists primarily in ensuring the optimum conditions for the teams and in discussing the circumstances on site with the event organiser. As soon as the ground conditions have been gauged and it has been agreed how the teams are to hook up to the electricity supply and what to do if the weather takes a turn for the worse, the ADAC representatives will begin marking out the plots for the team trucks.

Two ADAC series stewards and the official scrutineer will supervise the fair and consistent implementation of the competition rules – these officials are on duty at every event to monitor compliance with the regulations. In addition, someone from the crew will attend to the preparation of the track itself and will arrange with the club president for the surface to be raked and watered as appropriate.

Another job of huge significance is that of the ADAC MX Masters press officer. She has overall responsibility for public relations and ensures year-round coverage. The press officer works closely with the series photographer who submits the latest images from the event so that these can be made available copyright-free to the media.

Implementing the logistics is a 14-strong ADAC team that cooperates closely in the organisation of all eight events. The truck used by the ADAC crew serves as a focal point for the fans during the autograph signing session and is a popular rendezvous point for organisers, teams, series enthusiasts, sponsors and partners alike.
